How to make an invoice

  1. Add your name or business name, and your contact details. A logo is optional.
  2. Enter who you are billing, then set the invoice number, issue date, and due date.
  3. List each product or service with a quantity and a unit price. The line totals update as you type.
  4. Add a discount or tax rate if you need one, plus payment instructions and any notes.
  5. Check the preview, press Print or save as PDF, and choose Save as PDF in the print dialog.

What a good invoice includes

A freelancer or small business invoice is easiest to pay when the customer can see at a glance who it is from, who it is for, what it covers, how much is owed, and when. That means a unique invoice number, the issue and due dates, a clear description for each line, the total due, and instructions for how to pay. Add a tax or VAT ID if you are registered for one and your customer expects to see it.

Short, specific line descriptions (“Logo design, 3 revisions” rather than “Services”) and a stated due date tend to prevent follow-up questions. If you offer payment terms such as Net 14, the quick buttons above set the due date for you.

How the totals are calculated

Each line total is the unit price multiplied by the quantity. The subtotal is the sum of the lines. A discount, either a percentage or a fixed amount, is taken off the subtotal, and then the tax rate is applied to what is left. The total due is the discounted subtotal plus tax.

To avoid the small errors that decimal arithmetic can introduce, prices are converted to whole cents before any maths, and percentage results are rounded to the nearest cent, with exact halves rounded up. Quantities can have up to three decimal places for things like hours.

What this tool does not do

  • It does not guarantee the invoice meets tax or invoicing rules in any particular country.
  • It does not produce e-invoice files, only a printable document.
  • It supports one tax rate per invoice, added on top of your prices, and a single discount.
  • It does not send invoices, track payments, or remember customers.
  • It does not convert currencies, and it supports two-decimal currencies only.

Frequently asked questions

Is this invoice generator really free?

Yes. There is no account, no watermark, and no limit on how many invoices you make. The page is supported by the affiliate links elsewhere on this site, none of which appear on your invoice.

Is my invoice data uploaded or stored?

Invoice contents stay in your browser and are never sent to our servers. Your business details and logo are kept in this browser tab's session storage so they carry over to our quotation and receipt tools, and they are gone when you close the tab. If you tick the box to save a draft, the text fields are also kept in your browser's own storage on this device. The Clear form button removes all of it, and a saved draft never includes the logo. We do record anonymous usage events, such as that the tool was opened or printed, but never anything you type into the invoice.

How do I save the invoice as a PDF?

Fill in the form, press Print or save as PDF, and choose Save as PDF as the destination in your browser's print dialog. The invoice is laid out to print on its own, without the rest of the page. Page size and the file name depend on your browser, and switching off headers and footers in the dialog gives a cleaner page.

Can I add my logo to the invoice?

Yes. Choose a PNG, JPEG, or WebP file up to 3 MB. It is shrunk to fit the invoice header and kept in your browser only. It is reused by our quotation and receipt tools for as long as the tab stays open, and it is not included in saved drafts, so you will need to add it again on your next visit.

How are the discount and tax calculated?

The discount comes off the subtotal first, then tax is added on top of the discounted amount. Every amount is held in whole cents, and each percentage result is rounded to the nearest cent, with exact halves rounded up. The tool supports one tax rate per invoice added on top of your prices. It does not handle prices that already include tax, several tax rates on one invoice, or compound taxes.

Will this invoice meet the tax rules in my country?

This tool makes a general-purpose invoice and does not claim to meet the requirements of any particular country. Rules differ on things like numbering, tax or VAT identifiers, required wording, and electronic invoice formats, and it does not produce structured e-invoice files. Check your local requirements or ask an accountant before relying on it for tax purposes.

Which currencies can I use?

The currency list is USD, EUR, GBP, CAD, AUD, NZD, CHF, INR, KES, NGN, ZAR. All of them use two decimal places. The tool does not convert between currencies, so enter your prices in the currency you choose.

What is the difference between an invoice and a receipt?

An invoice asks a customer to pay an amount by a due date. A receipt confirms that a payment has already been made. This tool makes invoices, and each document is labelled INVOICE. When the payment arrives, our receipt maker records it, and our quotation maker covers the offer that comes before the invoice.
