How to make a receipt

  1. Add your name or business name and contact details. A logo is optional.
  2. Enter who paid you, then set the receipt number and the date you received the payment.
  3. Describe what the payment was for, and enter the amount paid and how it was paid.
  4. If the customer still owes you something, add the full price to show the balance remaining.
  5. Confirm that the payment was received, check the preview, and press Print or save as PDF.

What a receipt should say

A useful receipt answers four questions: who was paid, who paid, how much, and what for. Add the date and the method, such as cash, bank transfer, or card, and a reference like a transaction ID if there is one, so the payment is easy to match to your own records later. Give each receipt its own number, and keep a copy.

Part payments and balances

If you take a deposit or the customer pays in stages, issue a receipt for each payment and enter the full price as the total amount. The receipt shows what was paid now and what is still outstanding, so neither side has to work it out. When a later payment settles the balance, the receipt is marked paid in full. Why you confirm the payment

A receipt is only meaningful for money that has actually arrived. The form will not create one until you confirm the payment was received, the date cannot be in the future, and the printed receipt notes that the details were entered by the issuer. What this tool does not do

  • It does not verify that a payment was made, and the printed receipt says so.
  • It does not guarantee the document meets legal or tax rules in any particular country.
  • It does not calculate tax, send receipts, or keep a record of the ones you make.
  • It does not convert currencies, and it supports two-decimal currencies only.

Frequently asked questions

Is this receipt maker really free?

Yes. There is no account, no watermark, and no limit on how many receipts you make. The site earns commissions from affiliate links on other pages, and none of them appear on your receipt.

Is my receipt data uploaded or stored?

What you type stays in your browser and is never sent to our servers. Your business details and logo are kept in this browser tab's session storage so they carry over to our invoice and quotation tools, and they are gone when you close the tab. A saved draft is off unless you tick the box, and the Clear form button removes everything. The payment confirmation is never saved. We record anonymous usage events, such as that the tool was opened or printed, but never anything you type into the receipt.

Does a receipt prove that a payment was made?

Not on its own. This tool prints the details you enter, and the printed receipt says they were entered by the issuer. Proof of payment comes from records such as a bank or payment-provider statement. That is also why the form asks you to confirm that the payment was received before it will create a receipt.

What is the difference between a receipt and an invoice?

An invoice asks a customer to pay an amount by a due date. A receipt confirms that a payment has been received. A common sequence is a quotation, then an invoice, then a receipt once the money arrives, and our invoice generator and quotation maker cover the first two steps.

Can I issue a receipt for a part payment?

Yes. Enter the full price in the optional total amount field and the amount you actually received in amount paid. The receipt then shows the balance remaining and marks the payment as a part payment. If the two amounts match, it is marked paid in full. The amount paid cannot be more than the total, so clear the total if you do not want it shown.

Why can't I use a future payment date?

A receipt records money that has already been received, so the payment date can be today or earlier. If you are asking a customer to pay later, an invoice is the right document.

Does a receipt need to show tax?

That depends on your country and whether you are registered for tax. This tool does not calculate tax on a receipt; you can add a tax or VAT ID to your details and describe any tax included in the payment description or notes. Check your local requirements or ask an accountant.

Will this receipt meet the rules in my country?

It makes a general-purpose document and does not claim to meet the requirements of any particular country. Rules differ on wording, identifiers, and record keeping, so you may need to adapt it before relying on it for tax or legal purposes.
